A Group in ZeroLapse is simply a collection of existing sites — each one still its own independent ZeroLapse account, with its own login, its own staff, and its own data, exactly as before. Grouping them together adds a Group Dashboard on top: one combined compliance score, broken down by region, with a trend arrow showing whether the group as a whole is improving or slipping. It's the same Total Compliance Score every individual site already sees on their own Dashboard — certificates, PPE, legal appointments, assets and company documents — just rolled up across the whole group instead of one site at a time.
Groups are set up by whoever manages the sites (typically the franchisor or a management company already using ZeroLapse's Management Company mode) and can be organised by region, so a Group with branches across several provinces shows compliance broken down province by province, not just as one flat number that hides where the real gaps are.
This was the part we were most careful about. Head Office needing visibility doesn't mean Head Office should be able to edit a branch's certificates, delete a record, or otherwise operate a site they don't run day-to-day. Every Head Office login is strictly read-only — full visibility, zero ability to change anything, enforced on the server, not just hidden in the interface.
A Head Office user can drill into any site within their access for a closer look — the same Dashboard and alert detail that site's own manager sees — and share a report by email straight from there. They can't add, edit, delete, close, or archive a single thing. If they try, the request is rejected before it ever reaches the database, not merely discouraged by a hidden button.
Head Office doesn't have to go looking for problems. The same daily, weekly and monthly compliance alert engine every ZeroLapse site already runs on now also reaches the right Head Office staff automatically — scoped to exactly what they're allowed to see, National down to Specific, the same as the Dashboard. A regional manager gets alerted about their region's branches; a national Head Office contact gets everything. Incident reports (the Event Log) reach Head Office the same way, so a serious event at any branch in scope is never something Head Office only hears about secondhand.
When it's time to report upward — a board meeting, an insurer, a franchise compliance review — pulling together every branch's certificates, PPE, appointments, assets and company documents by hand is exactly the kind of work this feature exists to remove. A Group Compliance Register export builds one Excel workbook covering every site in scope in a single click: a cover sheet listing exactly which sites are included, then Employee Certificates, PPE, Appointments, Assets, Company Documents and the full Event Log, each row tagged with its Site, Site ID and Region so the workbook can be filtered or pivoted however the report needs to be sliced. Available to both the franchisor/management company and to Head Office directly, always scoped to whatever access each of them actually has.
Nothing about how a site runs day-to-day changes. A branch keeps its own login, its own staff, its own data, and full working access to manage its own compliance exactly as it always has. Joining a Group only ever adds an overview layer above it — it's never a replacement for the site's own account, and it can be removed at any time without touching a single thing the site itself has recorded.
